Dear Student

Many students were asking to send the common mistakes and information email again

So it is being sent to you again


Students don’t check announcements page regularly and often miss some important news/announcement. It is recommended to check announcements page at least three times a week. The main ways of communication for the project (CS619) are the email and announcements page only. Any thing more than that will be notified through email or announcements page. The intended announcements page for CS619 students registered in Fall 2010 semester are placed under the link ‘Fall 2010’ under the announcements section ‘Software Projects (Other than VOSS)’, you should only check these (Fall 2010) announcements throughout your project. Students are trying to use their own templates (searched from internet etc) to make the deliverables. All the templates and helping material is provided on helping material page, the URL is:

So you should follow it and also learn about the points/headings of these documents. A little description is already provided with each item. If you don’t get the clear idea then use your SE1 & SE2 course material that has all the required information. Still having problems, search on internet and ask your supervisor for further information/help.


Students are using copy paste to fill the deliverables. If something confuses you then you can use your SE1 & SE2 knowledge to tackle with that, or search internet. After developing concept, you must work on your own.


Plagiarism is strictly prohibited and any group/student found guilty will be dealt accordingly.


Students are using the requirements document that is provided by supervisors (DLR Document) for the project. This is not a correct way to fill your deliverables. The DLR document is to give you the understanding of your project about the required features you are supposed to develop. You don’t need to copy/paste them in your project. You should learn the activities, possible flaws, and possible extensions of the existing system. Specially don’t put the DLR points in your functional requirements of your SRS Document (first deliverable)
The best way for requirement gathering is to visit some real world business that is related to your particular project e.g. educational institutes, firms, organizations, businesses etc So that you can get the concept of the domain.


Students use paint brush to make the diagrams. Visio, SmartDraw, MS Office are good enough to make these diagrams. You don’t need to use paint brush. Those students who can’t get Visio from anywhere can use MS Office Power Point or MS Office Word. Also there are light weight tools for UML available on the web offering standard and attractive ways for drawing the diagrams.


When putting the diagrams from tools into the word/power point document, students paste the image directly. This increases the file size of the deliverable and hence takes time when sending deliverable to supervisor. To avoid this problem, the diagrams should be first exported to the common formats (JPG, GIF, PNG), and then inserted in the document. This can be achieved using the export options from the drawing software or using paint brush. Also you can double click on a diagram in the MS Word document and select compress, and then apply compression to all pictures in the document.


Often the recommended tools are mentioned in hints within each deliverable. If you can’t manage to get the recommended tools for drawing/constructing design diagrams, you can use any other tool of your choice.


Students identify very few actors for their allotted projects. It is not a good practice. You should first understand the domain of the project. Then identify as many actors as in real world could be. You can additionally think of more if you don’t get much information from a real world scenario.


Take care of spelling and grammar mistakes. It is very easy to avoid spelling mistake. MS Word has the built in functionality, you should check your document at least once before sending.


Students don’t meet the final dates for acceptance of deliverables. Remember there is no extended date for submission of deliverables. The dates mentioned in submission calendar are the final dates for deliverables. Assuming the project deliverables as assignments will make things difficult for students. The best way to submit a deliverable is; submit it well ahead of final date (such as 1 to 2 weeks before the final date), so that it can be accepted after revisions within the final date.


Deliverable submission process is as follows:

Students send the deliverable for acceptance Supervisor comments the document, for the mistakes/issues and sends it back to the student for correction. Students sends again and the whole process continues (usually) more than one times until supervisor sends the acceptance email to the student, after which student shall works on and send the next deliverable for checking/acceptance.


Before putting any query to supervisor or at CS619, make sure you have checked the announcements page. Most of the times it is noted that information related to student’s queries are already provided on announcements page.


The recommended tools are good to get hands on experience, but you can use any tools for drawing diagrams in the project.


Use justify style for paragraphs


Wait for supervisor response for 3 to 5 working days, and if there is no response, send the email again. Otherwise there will be a dead lock; the supervisor will think that the proper reply is already sent to student, the student will wait for the email, so there is infinite wait on both sides. To avoid it, follow the practice of re-sending email after some days (3 to 5 working days excluding Friday).


When sending deliverables, don’t include any other queries in the same email. If you have any questions, send a separate email to ask questions.


CS619 course is not like other typical project courses, there are no assignments, quiz, Graded MDB etc. So ignore any changes you see in assignments interface and in the To Do list that is related to project course. Announcements page is the main information/announcements area, so any change at any point during your project will first be announced through the announcements page:

Take very special care of these common mistakes otherwise it will add delays to the acceptance of your deliverables.
